Step 1: DataTrade Solutions Detailed Staff Analysis - The analysis process begins with an evaluation of both the clinical and office staff members to determine which staff members are the best candidates to participate in the initial software implementation process. At this point DataTrade Solutions gathers concerns from the staff, potential problems and other initial thoughts on upcoming implementation pains. During this time, DataTrade Solutions documents existing processes by department. Office analysis can be done as part of departmental meetings, but clinical analysis is best done by shadowing the office stafff. |

Step 2: DataTrade Solutions Outlines The Project Plan - The DataTrade Solutions Project Plan outlines the various teams and their roles within the Physician's office. This plan breaks down processes and determines phases of software implementation and timeframes for each stage of the implementation process. This plan also determines implementation responsibilities, delegating some responsibilities to in-house staff and other responsibilities to DataTrade staff. |

Step 3: DataTrade Solutions Guides The Office Through The Software Selection Process - The software selection process requires thorough evaluation of the options that are available to your office. DataTrade Solutions recommends reviewing multiple options and then narrowing it down to 3 choices. At this point, the selection process goes through all potential concerns with the software vendors and record their responses. DataTrade Solutions then begins evaluating the software's infrastructure options such as: hosted on-site, hosted off-site, co-locate, internal data center, external data center, and broadband requirements. The next part of the selection process is evaluating software flow, which involves: how fast the staff can get through the documentation process; what the medical records look like; reviews whether the system is template based; evaluating whether dictation be implemented with the software; and much more. |

Step 4: Software Package Installation & Configuration - DataTrade Solutions then begins the software installation process. DataTrade Solutions determines the software application access (Fat, Thin, etc.). Then Interoperability is determined - this tells DataTrade Solutions the ability of the software to integrate to other software providers' systems. Additionally, DataTrade Solutions helps with hardware selection such as: servers, laptops, tablet computers and more to ensure the success of the software installation and configuration. |

Step 5: DataTrade Solutions' Current & Future State Analysis - This analysis reviews and documents how your departments currently process paperwork. Once that is documented then DataTrade Solutions determines how those processes will be handled by each employee and department electronically. A current and future state analysis performed by DataTrade Solutions does not have to be limited to EHR and EMR systems. Anywhere major change is taking place within an office situation, a DataTrade Solutions current and future state analysis is appropriate. |

Step 6: DataTrade Solutions' Scanning and Abstraction Plan - The process begins with DataTrade Solutions, in conjunction with the office, determining what documents will be scanned. DataTrade Solutions also works with the office to determine what documents or records need to be abstracted (such as discrete data and/or data available for reporting). The determination of scanning and abstraction needs typically is handled by specialty. At this point, DataTrade Solutions assigns teams to handle scanning and abstraction services and provides customer with a timeline for completion of scanning and abstraction services. |
